Installation guide Secured Mail

To use Registered Mailing via Outlook, the plugin must be installed once. In this article, we explain how to do this easily.

To install the plugin, it must first be downloaded.

NOTE: You must have administrator rights to install software.

 

Once the plugin is installed, you can restart Outlook. The first time, an Aangetekend Mailen startup screen will appear. If you have previously logged in to Aangetekend Mailen on the machine where you are installing the plugin, this screen will not appear. Enter the domain name of your Aangetekend Mailen server at Server Name, which the client administrator has received. Then click ‘Ok’.

The Plugin In your Outlook mail environment, you will now find a new button ‘Aangetekend Mailen’ in the upper left corner. When you click on the plugin, a new email window opens. Now send a test mail. Keep the following in mind when sending a Registered Mail: Fill in a subject Write the text of the email to be sent Add an attachment

Digital Signature Optionally, you can ask the recipient of the Registered Mail to sign the sent documents digitally. When you wish this, ‘Yes’ must be selected from the dropdown box: ‘Signature return needed?’ The recipient will receive a follow-up request from Aangetekend Mailen to legally sign the documents digitally after accepting the Registered Mail.

Language Options It is possible to adjust the language when sending a registered mail. The chosen language setting ensures that the status mails from Aangetekend Mailen are displayed in that respective language for the recipient. The sent original email and any attachments remain unchanged.

Available Email Types In the plugin's option menu, there are 3 options available: AM - Standard Aangetekend Mailen route (this is the default setting) eIDAS - Aangetekend Mailen Plus AM+eIDAS - Both buttons are visible in Outlook

Note: Aangetekend Mailen Plus is by default off, and no mails will be sent via this route if not properly set up. Please contact Aangetekend Mailen for this.

Two-step Verification (2FA) / Standard 2FA Country Code It is possible to secure Registered Mails further with two-step verification. The recipient will have to enter a received SMS code during the retrieval of the Registered Mail before it will be released. If the Two-step Verification (2FA) option is set to ‘yes’, an extra field becomes available in the plugin to include a phone number.

Registered Mail via CC-BCC It is possible to choose which email fields are used to send Registered Mails. Through CC or BCC, a sent mail can be delivered as a regular email to, for example, an internal colleague, while the email address in the ‘TO’ field receives the same mail as a Registered Mail. All email addresses in the ‘to’ field will receive the email separately from each other as Registered Mail. The following choices are available: CC+BCC: All email addresses in TO+CC+BCC will receive the sent mail as Registered Mail CC: All email addresses in TO+CC will receive the sent mail as Registered Mail BCC: All email addresses in TO+BCC will receive the sent mail as Registered Mail No CC+BCC: All email addresses in TO will receive the sent mail as Registered Mail

Extension If you do not have access to the plugin and still want to send a Registered Mail, this can be done via an extension. You will need the server name received by the client administrator for this. Send Registered Mail via Extension To send a Registered Mail, you need to append a company-specific extension to the actual email address. This extension contains the following components:

For example: wouter@hotmail.com.servername.aangetekendmailen.nl

Extension with Digital Signature When the recipient needs to legally digitally sign the documents, ‘document-accept’ should be added to the extension. The extension will then look as follows:

For example: wouter@hotmail.com.document-accept.servername.aangetekendmailen.nl

Extension with Language Options You can also send a Registered Mail in a language other than Dutch via the extension. Within the extension, the text ‘language-’ must be placed. The language codes that can be used are as follows: “en” for English “es” for Spanish “fr” for French “de” for German The extension will then look as follows:

For example: wouter@hotmail.com.language-en.servername.aangetekendmailen.nl

Extension with Digital Signature and Language Options Combining the above functionalities is also possible. This allows you to have a digital signature set in a different language. The extension will then look as follows:

For example: wouter@hotmail.com.language-en.servername.aangetekendmailen.nl
